Upon acceptance of quotation for customised itineraries, or upon confirmation of Travel Solutions Vanuatu/ Vanuatu Ecotours package bookings, 25% of total price to be paid within 14 days. If date of travel is within 90 days, then deposit not required, just full payment as per 2/ below.
Final payment due 45 days before date of travel.
This deposit allows Travel Solutions Vanuatu/ Vanuatu Ecotours to pay domestic airfares and supplier deposits within the due date. The non-refundable component recognizes the work done to make/ cancel bookings with suppliers.
Cancellation policies (land):
Cancel after acceptance of quotation: 25% of total land costs are non-refundable
Cancel 8-30 days before date of travel: 50% of total land costs non-refundable
Cancel 7 days or less before date of travel: 100% non-refundable
However, Travel Solutions Vanuatu/ Vanuatu Ecotours reserves the right to amend these policies based on supplier policies.
Cancellation policies (domestic air):
Subject to airline’s policy, air tickets are fully refundable less airline cancellation fee of 5000 VT per ticket if cancelled before date of departure. If cancellation made before Travel Solutions Vanuatu/ Vanuatu Ecotours have paid the air ticket, then no airline cancellation fee applies.
Domestic charters: normally non-refundable but subject to charter operator policy.
Refunds for services not delivered or used. Claims for refund or reimbursement must be received in writing and time must be allowed for adequate assessment of the claim before any refund is paid. All refunds are paid less bank charges and a refund processing fee of up to 5000 VT per refund.
Payment of invoices is by bank transfer or credit card. Bank Transfer option: payment preferably in VATU. Invoices and payment in AUD will be based on the Bank of South Pacific inward transfer rate on the day when invoice issued. When two payments are made by bank transfer, a 1500 VT bank fee will be added to the second payment. Remote Credit Card option: add 3% to total invoice amount to cover additional bank fees. Any final balances owing or additional costs incurred in-country can be paid over the counter in Vanuatu by cash, or Credit Card with 3% bank fees.
Payment of our invoice indicates your acceptance of the terms and conditions specified here, on your own behalf and/or on behalf of any clients, co-travellers or tour group members that you represent in making these arrangements and remitting this payment. You have an obligation to supply a copy of these terms and conditions, or provide an equivalent explanation of these terms and conditions, to any person on whose behalf you are acting in booking the arrangements specified on this invoice, before remitting payment.
Itemization. Itemized costing quotations will not be provided.
Dispute resolution. If you are a travel agent, tour organiser or group leader booking arrangements on behalf of a third party or several third parties (ie your clients, co-travellers or tour group members), any disputes, claims or complaints that such third parties may have in relation to this transaction must be filed through you, your agency or your legal representatives.
Travel insurance. It is a condition of booking a tour or package with Travel Solutions Vanuatu/ Vanuatu Ecotours that you must purchase a travel insurance policy in your home country, prior to travel, that will cover you for any cancellation penalties or other costs you may incur if – you are forced to cancel your tour for reasons of health, compassion or other emergent circumstances covered by the insurer – you lose any baggage or personal items while travelling – you experience a medical emergency and require evacuation – there are forced changes to your itinerary due to cancelled or delayed flights or other transport problems due to bad weather, unserviceable aircraft/vehicles etc or other unexpected circumstances which lie beyond your control or the control of Travel Solutions Vanuatu/ Vanuatu Ecotours or local operators. Please travel with a credit card or adequate cash to cover such emergent costs.
Tour monitoring. Travel Solutions Vanuatu/ Vanuatu Ecotours undertakes to plan, organise and monitor your itinerary in a professional manner and ensure that all accommodation, travel and tours are booked as stated in your itinerary. In the event that your itinerary is disrupted due to delayed flights, bad weather conditions or other local circumstances we will do our best to rearrange your itinerary to enable you to continue your tour with minimum inconvenience. However you and/or your travel insurer must be prepared to cover the additional costs incurred in rearranging any disrupted itinerary where Travel Solutions Vanuatu/ Vanuatu Ecotours is not at fault.
No responsibility. As a ground tour operator Travel Solutions Vanuatu/ Vanuatu Ecotours contracts individual local suppliers of accommodation, transport and sightseeing services to provide various components of your tour package. In the event that a local supplier fails on its part to provide services as contracted by Travel Solutions Vanuatu/ Vanuatu Ecotours, we at our sole discretion may provide a refund to you for the actual value of this component of the tour, or the difference between this and an alternative service provided if the value of the alternative service is lower. In the event that any tour component booked with Travel Solutions Vanuatu/ Vanuatu Ecotours on your behalf is not provided due to circumstances beyond the control of either Travel Solutions Vanuatu/ Vanuatu Ecotours or the local supplier (such as natural disaster, civil commotion, strikes, utility failure, unserviceable infrastructure) Travel Solutions Vanuatu/ Vanuatu Ecotours may not be in a position to refund you for this component of the tour. However you may be able to claim from your travel insurer any loss or additional expenses you incur due to such misfortune. We will be happy to provide written confirmation of events to assist your claim for compensation from your insurer.
Liability Disclaimer. Medical and evacuation services may not be available in all areas visited on your tour, and safety equipment and accessories may not be supplied or fitted in boats and vehicles provided by local operators that we contract. You travel at your own risk and Travel Solutions Vanuatu/ Vanuatu Ecotours accepts no responsibility for accident, injury or other personal misfortune occurring during your tour. On acceptance of the quotation for your travel/ travel package, and further through payment of your invoices, you agree to assume all risks and fully indemnify Travel Solutions Vanuatu/ Vanuatu Ecotours (including its Associates, such as employees, directors, sub-contractors and agents) from any claims, actions, liabilities or demands that may arise as a result of or in connection with the tour arrangements agreed upon, in respect of yourself and in respect of any other persons on whose behalf you are acting in booking these arrangements. This Waiver of Claims/ Release for Liability/ Assumption of Risk is binding on the traveller, their travelling party (including minors), their agents, heirs, assignees, administrators, executors, and all members of their family, who collectively are forever prevented from suing or otherwise claiming against Travel Solutions Vanuatu/ Vanuatu Ecotours and their Associates for any loss or injury referred to above.
